How AI Is Helping SMEs Simplify Expense Management

Expense management is becoming a key pressure point for businesses as spending patterns grow more complex and harder to track.

A recent American Express Trendex survey highlights how finance teams are rethinking traditional systems and moving toward AI-driven tools to manage costs with better clarity and control. Based on responses from 500 corporate financial decision makers, the findings point to a clear shift in how companies, especially SMEs, are approaching financial operations.

Managing business spending continues to challenge a large share of organizations. The survey shows that 66% of respondents struggle to keep up with the complexity of company expenses. Manual processes remain a major hurdle, often creating gaps in visibility and slowing down compliance with internal rules.

Fragmented systems also add friction. When expense data sits across multiple tools, tracking becomes inconsistent, and finance teams face delays in identifying spending patterns. This growing difficulty has pushed many businesses to look for more structured and automated approaches.

AI Adoption Gaining Ground

Technology adoption is steadily reshaping expense management practices. According to the survey, 52% of respondents already use AI to manage expenses. At the same time, 40% have not adopted AI yet but plan to introduce it in the near future.

This shift signals a broader acceptance of automation in finance workflows. AI is increasingly viewed as a practical support system for handling repetitive tasks, reducing manual effort, and improving oversight of business spending.

Among organizations already using AI, several key applications stand out. The most common uses, each reported by 42% of users, include detecting fraud or errors, categorizing expenses, and capturing receipt data.

These functions help reduce manual entry work and speed up processing time. They also support more accurate recordkeeping, which is essential for maintaining consistent financial controls. As a result, finance teams can focus more on analysis rather than routine data handling.

Stronger Visibility and Control

The survey highlights a noticeable difference in financial visibility between AI users and non-users. Businesses using AI are nearly twice as likely to report strong clarity over spending, at 45% compared with 23% among those not using the technology.

Employee compliance also improves with AI support. Around 44% of AI users say it is easy for employees to follow spending rules, while only 26% of non-users report the same level of ease. This points to better alignment between policy and day-to-day expense behavior.

Expense management is shifting toward automated systems as businesses deal with tighter budgets and more detailed compliance needs. The American Express Trendex survey shows that AI is already playing a steady role in improving accuracy, reducing manual workload, and strengthening financial visibility.

For SMEs, this transition reflects a practical move toward more controlled and efficient spending processes.
